Terms & Conditions and Hotel Policies including Cancellations
The following terms and conditions apply to each reservation made with the Company through our website or directly with the hotels.
- Payment
- A valid credit card is required to guarantee your reservation. We accept Visa, Mastercard and American Express. The hotel will take £1 as a preauthorisation to validate your credit card. If the card is declined, you will be required to provide alternative credit card details otherwise your reservation will be cancelled.
- If you have booked a flexible/general reservation, then the amount shown on your confirmation is the amount you will be charged when you check in to the hotel. You may present the same card or a different card to process the payment.
- If you have booked a non-refundable reservation then you will be charged the full amount of your reservation at the time of booking.
- All amounts stated are inclusive of VAT.
- If your reservation is made through a third party company or travel agent, please also review their terms and conditions for payment which may have additional variances.
- Modification
- Non-Refundable bookings are unable to be modified under any circumstances.
- Flexible & General Bookings can be modified no later than 3pm local time two days prior to the date of arrival to avoid the first nights accommodation charge.
- For general reservations that are in house guests, the guest must provide notice to the hotel reception no later than 11am (GMT) 24 hours prior to the date they wish to check out early to avoid a penalty charge of one night including tax.
- Failure to amend your reservation within our terms and conditions, the hotel reserves the right to charge the penalty charge to the credit card used to guarantee the reservation.
- Cancelation Policy
- For flexible and general bookings, these can be cancelled no later than 3pm local time two days prior to the date of arrival to avoid a penalty charge of one night room and tax.
- This cancellation must be in writing to the hotel by email.
- Non-Refundable Bookings will not be refunded in case of amendment or cancelation
- Failure to cancel within our terms and conditions, the hotel reserves the right to charge your credit card the cancelation charge to the credit card used to guarantee the reservation.
- No Show
- Failure to arrive at the hotel on the day of check in will be classed as a “No Show”
- If the reservation is for one night the credit or debit card used to guarantee the reservation will be charged the full amount of the stay.
- If the reservation is a general reservation and is for more than one night, the hotel will charge the first night and cancel the rest of the reservation.
- If the reservation is a non-refundable reservation, the rest of the booking will be cancelled but no refund will be given.
- Checking In / Out
- Check in is at 3pm. We cannot guarantee an early check in. Should you require to check in before 3pm, we advise you book an additional night before.
- Check Out is 11.30am.
- The hotel reception is open 24 hours a day.
- We ask guests to show valid ID on check in to confirm that the credit card they are using is their own.
- Third Party Reservations
- If someone else is paying for your hotel stay for you, be it a person or a company, they will need to complete a third party credit card form and send this to the hotel at least 10 days prior to the day of check in for the hotel to process the payment. Failure to do this will mean that the guest will need to provide an alternative method of payment.
- Smoking Policy
- All our hotels are non-smoking. It is not permitted to smoke anywhere inside our buildings. This includes all our bedrooms and public areas.
- If you smoke in your bedroom you will be charged £250 fine for a cleaning charge.
- The hotel reserves the right to charge the credit card used to guarantee the reservation for a smoking charge.
- Damage
- You will be charged for any damage caused by you to any company property or any additional cleaning required as a result of your actions during your stay at the Hotel.
- The hotel reserves the right to charge the credit card used to guarantee the reservation for any damages.
- Group Bookings
- A maximum of 4 rooms may be booked online
- Reservations for more rooms than this requires approval from the hotel, please contact the hotel reservations@thebeaufort.co.uk to enquire.
- Rates may differ for group reservations.
- Additional Terms & Conditions are associated with group bookings.
- The hotel reserves the right to cancel reservations of more than 4 rooms that have been booked online over separate reservations or websites.
